Stocktaking is the physical verification of all inventory against system records, performed periodically or continuously, to confirm actual stock positions, identify losses and support financial reporting, and in food warehouses to check rotation compliance and product condition.
In trade practice
A full stocktake typically requires a warehouse freeze, during which all movements stop and teams count every location systematically. In food storage this includes checking batch numbers, best-before dates and signs of damage or temperature abuse alongside quantities. Results are reconciled with the warehouse management system, and significant discrepancies must be investigated and documented. Auditors under schemes such as BRCGS or IFS Logistics review stocktake records as evidence of inventory control.
In a specification
Contracts with third-party logistics providers commonly specify the minimum frequency of full stocktakes and require written reconciliation reports to be shared with the client within an agreed number of days of completion.
